Proration

HomeGlossaryProration

Proration is the process of adjusting a customer's bill when they change their subscription plan, quantity, or service before the current billing cycle ends. The company doesn't charge the same amount for both plans; instead, they only charge for the time each plan was used.

Understanding Proration Through an Example

In simple words, proration means users are charged only for what they use.

Say a customer is on a basic plan at $90 per month. Ten days before the cycle ends, they upgrade to the $150/month Pro Plan.

Without proration, the business would either charge full price for the new plan right away or make the customer wait until next cycle to switch at all.

With proration, neither happens.

The customer pays for the Basic Plan only for the days it was used, receives credit for the unused portion of that plan, and pays only for the remaining days on the Pro Plan. The final invoice reflects the actual value of the services used during that billing period.

How Proration Works

Proration follows a simple calculation

1. Determine how many days are left in the current billing cycle.

2. Calculate the unused value of the existing plan.

3. Apply that amount as credit.

4. Price the new plan for the remaining days.

5. Charge or credit the difference.

The final invoice reflects only what the customer actually used.

Proration During an Upgrade

A customer who upgrades mid-cycle has already paid for the plan they're leaving. So the business figures out what's unused, credits it, then charges for the new plan's remaining days.

For example

Current plan: $100 per month.

New plan: $150 per month.

Suppose the customer upgrades halfway through the month. They receive a credit for the unused half of the current plan. The remaining half of the billing cycle is charged at the new plan's rate, so the customer pays only the difference.

Proration During a Downgrade

When a customer switches to a lower-priced plan before the billing cycle ends, they have already paid for a higher-priced plan. The business calculates the unused portion of that plan as a credit and charges the remaining days at the lower plan's rate.

Why Is Proration Important?

Proration keeps billing fair and lets customers switch plans without friction. It offers several benefits, such as

  • Users only pay for what they actually use.
  • Businesses can support plan changes at any time without creating billing confusion.
  • Invoices clearly show credits and additional charges, making them easier to understand.
  • Finance teams spend less time handling manual adjustments and billing disputes.

Without proration, the firms often end up delaying plan changes until the next billing cycle or manually calculating refunds and charges. Both of which can lead to errors.

Proration in Subscription Billing

Proration is a standard feature in subscription billing because customers often upgrade, downgrade, or change subscription quantities before renewal. An automated billing system calculates prorated charges instantly and updates the invoices in real time. Thus, reducing billing errors and ensuring accurate charges.
