Client Background
Our client is an education service provider with a platform for managing core school activities. This includes tracking academic progress, managing students, and collecting fees and payments. Their operations required a more sophisticated system to handle complex subscription models and multiple students’ payments in a seamless manner. The solution, however, was required to be flexible for different schools and facilitate simple handling of subscriptions, invoicing, and payments.
Client Challenges
The client encountered several hurdles as their platform evolved:
Complex Payment Flow: The client’s system handles payments from parents through individual schools, each requiring its own subscription to access various services.
Many Children, One Payment: Parents with two or more kids, particularly those who attend different schools, found it difficult to arrange payments efficiently. This was because paying multiple invoices was tedious.
API-Driven Solutions: The client required the ability to offer subscription, invoicing, and payment management features through external APIs. This was critical for allowing schools to integrate these capabilities without relying heavily on external systems.
Dealing With Diverse Subscription Plans: Different schools have different needs with respect to subscription frequencies. This led to difficulties in handling multiple plans at once.
Single payment for Multiple Subscriptions: Parents found it difficult managing multiple subscriptions due to the need for different payments with respect to multiple schools or children being involved. At present, they must undergo separate procedures for each school or child.
Our Solution
We adopted the Saaslogic subscription and payment management service for the particular client to resolve the above issues. Our strategy consisted of the following:
API Integration for Flexibility: We provided API access to handle subscriptions, create invoices, and receive payments. Schools could now use these capabilities while remaining outside of Saaslogic’s interface.
Unified Payment Processing: We created an architecture in which one parent could pay for all children at once, even if they attend different schools. This alleviated the burden of juggling various unique bills and made the entire process easier.
Pro-active Invoicing: The system took charge of the invoicing process, allowing schools to receive and mark payments as ‘completed’ even when such activities are done offline.
Installed webhooks: With webhooks, parents and administrators instantly received notifications when an invoice was created, payment was attempted, or a subscription was renewed. This made sure everyone was always in the loop.
Centralised Dashboard: Our dashboard provided schools with an interface to monitor their performance metrics, manage their subscriptions, and check the status of payment flows. This allowed for sound and timely decision-making, as well as financial management.

We designed portals to provide parents with maximum control and transparency, allowing them to view, pay for, and manage their subscriptions without requiring them to log in or use any other systems.
